About the Role

The Medical Office Assistant plays a key role in supporting the daily operations of the clinic. Responsibilities include managing incoming calls, scheduling patient appointments, handling referrals, and welcoming and registering patients. The role also involves responding to inquiries from hospitals, patients, and referring physicians, as well as assisting with billing processes and maintaining medical records.

 

Responsibilities

What You’ll Do

  • Support daily clinic operations to ensure smooth workflow and patient care.
  • Answer incoming phone calls and direct them appropriately.
  • Schedule patient appointments and manage referral processes.
  • Greet patients upon arrival and assist with registration.
  • Respond to inquiries from hospitals, patients, and referring physician offices.
  • Assist with billing tasks and help maintain accurate records.
  • Ensure confidentiality and proper handling of patient information.

 

Qualifications

What You’ll Bring

  • High school diploma or GED required; Associate degree preferred.
  • Minimum of two (2) years of progressively responsible clerical experience, including receptionist and scheduling duties.
  • Prior experience in a medical office setting, including some billing responsibilities, is preferred.
  • Proficient in Microsoft Office applications.
  • Experience with electronic registration and medical record systems.
  • Strong customer service skills required.
  • Ability to multitask and communicate effectively in one-on-one and small group settings.
  • Bilingual skills in Spanish, Portuguese, or French are preferred.

Compensation (NJ Job Transparency Law)

The expected hourly rate for this position is $21.13 – $22.28 per hour, in accordance with the New Jersey Pay Transparency Law; final compensation will be commensurate with experience and qualifications.
