Overview

About the Role

The primary purpose of the Management Assistant position is to provide diversified, administrative and management support to Employee Health. This position coordinates projects, correspondence, reports, and office operations.

Responsibilities

What You’ll Do   

  • Manages the Employee Health front desk with scheduling and registering employees, pre-employment candidates, and volunteers.
  • Assists and facilitates appropriate direction to employees regarding billing, workplace injury, or scheduling questions.
  • Oversees the maintenance and management of Employe Health RedCap projects which include TB Surveillance Surveys, COVID Calls, Flu Vaccinations Records, Pre- Employment and Employee Titer Results, and Volunteer and Pre-Employment Clearances.
  • Assists Director Employee Health and APNs in managing Worker’s Compensation schedule and appointments.
  • Composes and maintains the Worker’s Compensation spreadsheet and databases to facilitate Worker’s Compensation meetings.
  • Coordinates with Worker’s Compensation insurance carrier in scheduling outpatient imaging appointments, physical therapy treatments, and specialty referrals.
  • Coordinates fiscal procedures within the office, including budget implementation and control with Labcorp supplies.
  • Ensures that expenditures are in accordance with allocation of funds. Responsible for Labcorp and office supply PO’s.
  • Oversees the maintenance and organization of Employee Health’s calendar and assiststhe department with organizing meetings, booking conference rooms, arrangements of conferences, travel etc. Ensures maintenance of record keeping, filing and retrieval systems for Employee Health.
  • Assists Director Employee Health with coordinating the annual Influenza Vaccine Campaign which includes scheduling committee meetings, coordinating with the Quality and IST departments for computer and system updates, and managing the RedCap Flu vaccine records.
  • Serves as principal liaison with various UH departments and outside agencies/partners such as Human Resources, Quality & Safety, Radiology, Laboratory, IST, and Worker’ Compensation Insurance Carrier. Initiates and responds to correspondence related to these functions and attends meetings as requested. Responsible for timely follow-up of problems and questions and maintains a log and documentation.
  • Independently analyzes and organizes intra-office procedures to improve the workflow of RNs and ACTs with pre-employment physicals, Worker’s Compensation appointments, vaccinations, N95 fit tests, and titer blood draws.
  • Analyzes and organizes office procedures and workflow and recommends improvement, as necessary.
  • Works with IST to analyze and recommends computer workflow improvements for scheduling and billing.

Qualifications

What You’ll Bring

Required:

  • Bachelor’s Degree in Business Administration, Finance or a related field, plus one (1) year of experience involving the review, analysis and evaluation of financial, organizational, and/or administrative practices in a business or government agency required.
  • Must be proficient in computer applications as required by department.
  • Demonstrated ability to prioritize, organize, and work independently and as part of a team required.
  • Equivalent experience, education and/or training may be substituted for the education requirements.

Compensation

The expected salary range for this position is $PS20S:  $55,955.00 - $67,101.00 - $79,709.00 per year in accordance with the New Jersey Pay Transparency Law; final compensation will be commensurate with experience and qualifications.
